December Staff Meeting Minutes


In attendance: Cedric, Jerome, Darrell, Michelle, Monique, Nuvia

Our very first staff meeting began with a discussion on morale. Darrell started off by stressing that in order to keep a good morale, we need to lift each other up. We should be proactive and take it upon ourselves to be kind and encouraging and acknowledge each others hard work. Cedric reminded us that everyone contributes to the team morale and having an open line of communication will help us be a more cohesive and productive team.

Blog:
Nuvia introduced the blog to the staff and asked if anyone had anything they wanted on the blog to let her know. We want the blog to give us quick access to things we need often and the communicate the latest news to our staff.

Shelf Reading Assignments:
Jerome introduced the Shelf Reading Assignment sheet to the staff. The library is broken up into 16 shelf reading sections. Every month, everyone will select two section they will shelf read for that month and record their shelving in the Shelf Reading Log. Please remember that you are responsible for logging your SR and only the shelf reading recorded will count. There will be links to both the assignment and log forms on the blog. The sections you choose for December will carry over to January as well because we are starting halfway through the month. Please make your assignment selection by December 9th.

Discuss future technology programs:
In an effort to utilize and expose our patrons to the technology we have (or will have) available, Cedric has asked us to brainstorm ideas for programs that can incorporate our tech. Friday and Monday we will meet in group to share our ideas and create more concrete plans for 2017 programs.  

IT Issues:
Lisa has created a form to report any issues we encounter with our computers. We have been having many issues with the public computers and IT is working on fixing them, but if you run across any issues, please log them in and Lisa will report them. There will be a link to the Computer Log on the blog.

Discuss Library operational functions:
  • Cedric reminded us not to stand at the desk when we are assigned to roam and not have our cellphones out of the floor. Its important to roam, especially since we only have one person on the desk. We will also need to have one person roaming the teen area at all times.  
  • We should all stick to our schedule as it affects how we function as a whole. If you need time for a task, let Cedric or Jerome know so the schedule can be adjusted.
  • Phones should be answered in the back. There is only one person on the desk and they cannot answer the phone AND assist customers. 
  • We have come across many items that are not cataloged in our system. When a patron wants to check out the item, we need to check it out as an “Item on the Fly”. If a patron does not need to item, we need to send it to LMS. Lisa will go over how to put an Item on the Fly in our next meeting. There is a printout of the instruction in the front desk next to the service log. 
  • Closing announcements should be made 30, 15, and 5 minutes before closing. 
  • First person on the desk will take phone OFF forward to voicemail, Last person on the desk will put phone ON forward.
  • First person on desk will print out daily passes.

  • Make sure all computers are ready for public, restart if necessary
  • Close bookdrop
  • Turn on TVs and reservation stations
  • Open doors
  • Take laptops out of the closet
  • Tidy up (make sure all seating is in its proper place, pick up any misplaced book)
  • Open bookdrop
  • Turn off TVs and reservation stations
  • Close doors
  • Check all rooms for customers at closing, including restrooms
  • Lock up laptops in closet by training room, leave charging overnight


Lastly, Cedric address making up time by taking shorter lunches. You need to communicate with Cedric if you know you are going to be late and want to make up your time during lunch. Please dont take shorter lunches without talking about it with Cedric.


Jerome led a hands on training for 3D printing.
